A contractor management checklist for the whole engagement.

A contractor engagement has six stages: classify, contract, onboard, pay, review and end. Classify first, because it decides whether the arrangement is contracting at all.

What should be on a contractor management checklist?

A contractor is paid for a result, not for hours under your direction, and each stage below protects that difference. Tick a line when its "done when" test is true.

That is the whole checklist.

Why do contractors need a checklist of their own?

A contractor is not an employee, and the rules that protect an employee do not apply in the same way. That is the point of the arrangement, and it is also the risk: if you manage a contractor like an employee, the arrangement can start to look like employment.

The checklist keeps the work on the contractor side of that line. It asks for results, a written contract and an invoice for each payment, and it asks you to look again on a set date.

Questions people ask

  • What is the difference between managing a contractor and managing an employee?

You manage a contractor by result: scope, deliverable, invoice and payment. You manage an employee by role: hours, line management, benefits and payroll. If you start to manage a contractor the second way, check whether the arrangement still fits.

  • How often should I review a contractor engagement?

At a set interval, such as each quarter, and whenever the scope, hours or share of the contractor's income from you change. Put the date in the calendar when you sign.

  • Who pays the currency conversion on a contractor payment?

Whoever the contract says. State it in the contract, and check the rate you were charged against the market rate for the day. The FX Transparency Calculator does that for you.
